Position Overview:

The Education Programs & Meeting logistics Assistant support the planning and implementation of Binaytara’s educational initiatives and meeting logistics. This role reports to the Director of Education Programs & Meeting Logistics.

The Binaytara Education Academy: The team at the Binaytara Education Academy includes an education committee led by expert oncologists in the US, the Medical Education Director, the Director of Education Programs, the Assistant Managers of Education Program, Continuing Education Coordinators, Assistant Coordinators, and hundreds of faculties from institutions across the country and abroad.


Travel Requirement: This position may require travel to our conference/event sites in WA state or outside WA state which may include overnight stays.


Physical Ability: May be required to occasionally carry/lift/transport suitcases/bags/containers containing conference materials from/to the Binaytara Foundation office or another designated place to conferences sites. Ability to lift up to 50 pounds is required to load/off load those materials. Prolonged period of sitting at a desk and working on a computer.


Key Responsibilities

  • Assist in planning, implementation, and evaluation of in-person and virtual CME conferences, enduring contents, and other educational activities.
  • Maintain compliance with CME, CNE, and CPE accreditation guidelines.
  • Serve as the point of contact for faculty for assigned conferences and facilitate communication with faculty to confirm availability, gather presentation materials, and ensure timely responses to their needs.
  • Create activity pages on education academy for all assigned activities ensuring all required components are addressed.
  • Support content creation and updates for the Education Academy and OncoBlast.
  • Coordinate faculty logistics, including speaker schedules, travel arrangements, and other communications.
  • Complete post activity reporting, performance in practice (PIP) documentation, and other required documentations for assigned activities.
  • Collect, compile, analyze, and report feedback from program participants to support continuous improvement.
  • Assist in collaborating with internal teams and external stakeholders to develop and execute event plans that align with the objectives and goals of the continuing education conferences.
  • Assist in researching, evaluating, and securing appropriate venues for conferences, taking into consideration factors such as location, capacity, technical capabilities, accessibility, and costs.
  • Coordinate travel arrangements and accommodation for faculty and staff if applicable.
  • Assist in managing logistical details such as room setups, signage, registration areas, and on-site support to guarantee a seamless flow of the event.
  • Work with the internal team and venue on-site contact to create and manage setup, banquet event schedule, and other tasks as needed.
  • Gather feedback from stakeholders to evaluate the success of the event and identify areas for improvement.
  • Maintain accurate records, contracts, and documentation related to event planning and execution.

Qualifications:

  • Bachelor’s degree in education, public health, healthcare administration, nonprofit management, or a related field.
  • 1-3 years of experience in program coordination, event planning, or a similar role.
  • Strong project management skills with attention to detail and the ability to handle multiple tasks.
  • Excellent communication and interpersonal skills, particularly in faculty coordination.
  • Proficiency in Microsoft Office Suite and familiarity with digital learning platforms.

Working Conditions:
  • This position may require occasional evening and weekend work to meet deadlines or attend events.
  • Travel will be required for site visits, other meetings, or conferences.
  • Ability to lift up to 50 pounds is required
