Position Title:  Conference Communications Intern

Duration: 1 Year (Full-Time, 40 hours per week)

Compensation: $3,250 per month

Reports to: Conference Operations Manager

Overview

The Conference Communications Intern plays a key role in supporting the successful execution of professional conferences throughout the year. This full-time, paid internship offers hands-on experience in event management, communications, and operations. The ideal candidate is detail-oriented, organized, and proactive, with strong written communication skills and an interest in conferences, marketing, or nonprofit administration.

Key Responsibilities

1. General Conference Communication 30%

  • Manage and respond to email inquiries related to registration, prospectuses, and general conference information.
  • Provide clear, timely, and professional communication to attendees, exhibitors, and partners.
  • Maintain accurate records of all correspondence and follow-ups.

2. Exhibit Inquiry Follow-up 20%

  • Track and respond to exhibit-related inquiries for multiple conferences.
  • Send follow-up communications and assist exhibitors with registration and logistics.
  • Update internal tracking systems to ensure information accuracy.

3. Pre-Conference Setup Support 20%

  • Prepare and distribute setup instructions to venues, exhibitors, and internal teams prior to each event.
  • Coordinate with other team members to confirm that all pre-conference logistics are complete.
  • Review and reconcile attendee check-in sheets and internal tracking systems for each event.
  • Verify attendance records and compile data for internal reporting.

5. Post-Conference Communication 10%

  • Send attendee lists and follow-up communications after each conference.
  • Support evaluation and feedback collection as needed.

6. CRM and other platform management 10%

  • Assist with data entry into databases

7. Other duties as assigned 10% - such as helping with fundraising for Binaytara, including creating an online peer-to-peer fundraising campaign.

Qualifications

  • Strong written and verbal communication skills.
  • Excellent organization and time management abilities.
  • Proficiency with Google Workspace and tracking systems
  • Ability to handle multiple projects and deadlines with attention to detail.
  • Interest in event management, communications, or business operations.
