At Binaytara (“we,” “our,” or “us”), we are committed to protecting the privacy of our customers and website visitors. Binaytara is a 501(c)(3) nonprofit organization (EIN: 26-1603676) headquartered in Bellevue, Washington. This Privacy Policy explains our data collection, use, and disclosure practices. By using our website, you consent to the collection, use, and disclosure of your personal information as described in this Privacy Policy.
What This Policy Covers
This policy applies to information collected through all Binaytara platforms, including:

Data Collection
Information you provide: When you register for a conference, create an account, submit an abstract, make a donation, subscribe to a newsletter, apply for a job or grant, or contact us, we collect the information you provide. This may include your name, email address, mailing address, phone number, professional credentials (e.g., MD, NP, PharmD, RN), institutional affiliation, NPI number, and payment information.
Information collected automatically: When you visit our websites or use the OncoBlast app, we may collect certain technical information, including your IP address, browser type, device type, the pages you visit on our website, time spent on pages, and referring URL.
Cookies and Tracking Technologies
Our websites use cookies and similar technologies to operate, analyze usage, and improve our services. We use:
• Google Analytics: to understand how visitors use our sites (pages visited, session duration, traffic sources). Google Analytics sets cookies such as _ga and _gid. Data is retained for 14 months. You can opt out by installing the Google Analytics Opt-Out Browser Add-on at tools.google.com/dlpage/gaoptout.
• Microsoft Clarity: to analyze user behavior through session recordings and heatmaps. This data is anonymized. Session recordings are retained for 30 days; other data such as heatmaps is retained for up to 13 months. Learn more at clarity.microsoft.com/terms.
• Essential cookies: required for site functionality such as login and session management.
Some pages may embed third-party content (e.g., YouTube videos, social media widgets) that sets its own cookies. We do not control those cookies. You can manage cookies through your browser settings; disabling certain cookies may affect site functionality.
Use of Data
We may use the personal information we collect from you to provide you with information or services that you request. We may also use this information to improve our website and the services we offer, to communicate with you, or for other legitimate business purposes. Specifically, we use your information to:

Disclosure of Data
We do not sell your personal information. We will not disclose your personal information to any third party without your consent, except as required by law or as described below. We share information with third-party service providers only as needed to operate our programs:
• Donation processing: Online donations at give.binaytara.org are accepted via debit or credit cards, PayPal, and bank transfers. Payment information is handled directly by the respective payment processors and is not stored on Binaytara servers.
• Email communications: We use third-party email service providers to send newsletters, event announcements, and educational updates. Your name and email address are shared with these providers for delivery purposes.
• CME/CE accreditation reporting: We share participant data (name, credentials, completion records) with accrediting bodies such as ACCME, ACPE, and ANCC as required to fulfill accreditation requirements.
• Analytics providers: Google and Microsoft receive anonymized usage data as described in the Cookies and Tracking Technologies section above.
Your Rights and Choices
You have the following rights regarding your personal information:
• Access and correction: You may request a copy of the personal data we hold about you or ask us to correct inaccuracies.
• Deletion: You may request that we delete your personal data, subject to legal and accreditation retention requirements described below.
• Opt out of communications: Every marketing email includes an unsubscribe link. You can also contact us directly to opt out. Opting out does not affect transactional messages such as donation acknowledgments or registration confirmations.
• Withdraw consent: Where processing is based on consent, you may withdraw it at any time.

Data Retention
We retain personal data only as long as needed for the purposes described in this policy or as required by law:
• CME/CE records: Minimum of 6 years, as required by accreditation standards.
• Donation records: Minimum of 7 years, per IRS requirements for 501(c)(3) organizations.
• Email marketing data: Until you unsubscribe or request deletion.
• Google Analytics data: 14 months.
• Microsoft Clarity data: Session recordings for 30 days; heatmaps and other data for up to 13 months.
• Job and volunteer applications: Up to 2 years after last interaction.
When data is no longer needed and no legal retention requirement applies, we delete or anonymize it.
Security
We take reasonable steps to protect the personal information we collect from you from unauthorized access, use, or disclosure. These measures include encryption of data in transit (HTTPS), access controls, and secure payment processing through PCI-compliant third-party providers. However, no internet transmission is ever completely secure or error-free. In particular, email sent to or from our website may not be secure.
Children’s Privacy
Our websites and services are not directed at individuals under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal data, please contact us and we will delete it.
International Data Transfers
Binaytara operates in the United States and has program activities in Nepal and Nigeria. If you access our services from outside the United States, your data may be transferred to and processed in the United States, where data protection laws may differ from those in your country.
Health Information
Binaytara is an oncology education, research, and advocacy organization. Our US-based operations collect professional and educational data (such as physician credentials, CME/CE completion records, and institutional affiliations) for accreditation and educational purposes. This type of data is not protected health information (PHI) as defined under HIPAA. Binaytara’s education platforms, conferences, publishing activities, and fundraising operations are not subject to HIPAA.
The Binaytara Cancer Center in Janakpur, Nepal provides direct patient care, including cancer screenings, chemotherapy, surgery, and lab services. The cancer center operates under applicable Nepali law. Patient medical records at the cancer center are maintained separately from our US-based education and fundraising platforms and are not collected or stored through the websites covered by this Privacy Policy.
Educational content published through The Cancer News, IJCCD, OncoBlast, and our conferences is for informational purposes only and is not a substitute for professional medical advice, diagnosis, or treatment.
Do Not Track
We do not currently respond to "Do Not Track" browser signals.
Third-Party Links
Our websites may contain links to third-party sites. We are not responsible for their privacy practices and encourage you to review their policies.
Changes to This Privacy Policy
We may change this Privacy Policy from time to time. If we make any changes, we will post the new Privacy Policy on our website and update the "Last Updated" date below. If we make material changes, we will provide notice through a prominent announcement on binaytara.org or by email to registered users.
