Salary: $100,000 to $125,000 per year



Role Summary

The Director of Conference Operations is a systems-driven operator responsible for executing 60+ oncology conferences annually.
This is not a traditional event planning role. It is a high-volume operations role focused on building scalable systems, managing vendors, and ensuring consistent execution across a complex national conference portfolio.
You will design and manage the operational framework that enables a small team to execute a complex national conference portfolio with accuracy and efficiency. Success in this role is measured by operational consistency, cost control, and the effectiveness of the systems you build.


Location details: Binaytara headquarter is located in Bellevue, WA. However, candidates from other major metropolitans (Dallas, Houston, Austin, Chicago, Charlotte, Denver or Atlanta) may be considered for this role to work remotely. Travel is required regardless of the primary work location. Travel includes weekends.


Key Responsibilities

  • Own and optimize the organization’s operational systems (project management platforms, automation tools, and emerging technologies) to support conference logistics at scale
  • Build, maintain, and continuously improve operational systems that enable visibility, accountability, and scalability across all conferences
  • Develop and maintain scalable workflows supporting multiple conferences in various stages of planning (typically 2–8 events per month)
  • Lead venue sourcing, RFP processes, and contract negotiations
  • Manage vendor relationships (venues, catering, AV, travel)
  • Oversee faculty travel and accommodations
  • Manage and mentor logistics team members
  • Ensure all events are delivered on time and according to plan

Qualifications

  • 5–8+ years in conference operations, event operations, or similar roles
  • Experience managing multiple concurrent events at scale
  • Strong vendor negotiation and contract management experience
  • Experience with project management tools
  • Highly organized with strong attention to detail
