Role Summary
The Senior Project Manager: Conference Operations is responsible for overseeing the execution, coordination, and operational quality of logistics for 60+ oncology conferences annually.
This role functions as the operational lead for conference logistics, ensuring timelines, deliverables, vendors, travel coordination, venue readiness, and internal workflows remain on track across multiple concurrent events. Success in this role requires strong project management discipline, attention to detail, accountability, and the ability to maintain visibility across many moving parts simultaneously.

Key Responsibilities
Project & Operational Oversight
- Oversee logistics execution across 60+ conferences annually
- Maintain visibility across all active conferences and planning timelines
- Ensure deadlines, deliverables, and operational milestones are consistently met
- Identify risks, bottlenecks, or gaps early and proactively resolve issues
- Ensure all conferences progress according to established operational standards and workflows
Quality Assurance & Execution Control
- Monitor conference logistics to ensure accuracy, consistency, and completion
- Conduct regular reviews of timelines, registrations, travel coordination, venue readiness, and operational checklists
- Ensure all conference details are updated accurately within project management systems
- Drive operational consistency across all conferences regardless of size or location
- Reduce last-minute escalations through proactive follow-up and oversight
Team Leadership & Accountability
- Manage and support the Logistics Team
- Maintain accountability across the logistics function
- Conduct regular operational check-ins to ensure priorities remain on track
- Reinforce follow-through, deadline ownership, and attention to detail
- Escalate risks or delays appropriately when necessary
Vendor & Logistics Coordination
- Oversee venue coordination, travel logistics, AV coordination, catering execution, and related vendor activities
- Ensure vendor deliverables align with contracted expectations and timelines
- Support budget discipline through organized execution and operational oversight
Qualifications
- 7–10+ years of experience in:
- project management
- conference operations
- event logistics management
- program coordination
- operational oversight
- Proven ability to manage multiple concurrent projects with competing deadlines
- Strong organizational and follow-through skills
- Experience leading timelines, deliverables, and operational workflows
- Ability to maintain structure and accountability in a fast-paced environment
Preferred Experience
- Experience overseeing conference or event logistics at scale
- Experience managing remote teams or coordinators
- Experience using project management and workflow systems
